Bookkeeper with admin duties

DUTIES:
Finance:
• Creditors Management:
– Generating Purchase Orders
– Account application for credit with suppliers
– Receipting of credit invoices from suppliers
– Creating Bills against PO’s created and Invoices received
– Management of cash invoices from suppliers
– Receipting statements from suppliers (Monthly)
– Payments to suppliers
– Creditors reconciliation

• Debtors Management:
– Generating Quotes & Invoices
– Receipting Customer Purchase Orders
– Follow up outstanding payments (Management of Debtors list)
– Update Payments
– Follow-up on remittance advise with clients for payments received
– Allocating payments against invoices
– Sending statements to clients (Monthly)
– Following up on payments who are (30->90days Outstanding)

• Bank Reconciliation

Administration:
• Answering phone & door
• Data Capturing
• Manage and distribute incoming emails from company main email address and distribute emails to department heads

The following is only required if the company is short staffed:
• Outsourced testing (O.T):
– Receive and process samples for O.T
– Ensure that sample volumes are adequate
– Follow up on Acceptance notes for O.T if not included with delivery
– Notify relevant person when full orders are received and Populate database
– Preparing O.T lab request forms
– Preparing O.T lab delivery notes
– Arranging O.T lab PO’s
– Arranging couriers and sending O.T samples to various labs
– Follow-up on lab results
– Request lead-times from labs

• Laboratory:
– Receiving of samples
– Checking sample details on arrival at laboratory
– Retain samples at recommended storage temperature
– Arrange, coordinate client rapid and FACTS kit orders
– Ensure payment of rapid kit suppliers

Client Relationships:
• Communicate with clients in a professional manner
• Ensure that each client feels that their query is addresses and/or resolved
• Liaise with the client relationships decision point person to maximise the relationship with clients

Key Competencies Required:
• Must be a South African citizen or have permanent residency and valid work permit
• Valid driver’s licence and own transport
• Ability to speak fluent English and Afrikaans to communicate effectively
• Computer literacy in MS Office and QuickBooks
• Strong analytical skills
• Good organizational skills and ability to keep to deadlines
• Good written and oral communication skills
• Well-developed work ethic, positive attitude and a capacity to work accurately under pressure and to ‘multi-task’
• Ability to be self-motivated and to work independently, as well as to work in a team when required
• Flexible, innovative and good with problem solving
• Attention to detail

SALARY: R8,000-R10,000 per month
