Executive Personal Assistant

Location: Southern Suburbs

Our client, a BPO call centre based in Cape Town is urgently looking for an Executive Personal Assistant to join their team to provide personal assistance to senior executives to ensure effective management of diaries, accurate minutes of meetings and effective arrangement of travel. Duties Include:

• Manages the diary of senior executives including calendar bookings, travel and setting up of meetings

• Liaises with Executive PA’s in UK and India to ensure accurate coordination of diaries and plans

• Engages and effectively communicates across organisational levels from junior staff to CEO to ensure effective delivery of plans and coordination of meetings

• Attends meetings with Senior Executives to ensure accurate capturing of minutes

• Documents meeting minutes in a structured and coherent manner to ensure adherence to agreed governance and deadlines

• Opens, sorts and distributes incoming correspondence, including faxes and email

• Prioritises tasks and raises concerns of overlapping activities

• Performs general office duties, such as ordering supplies, maintaining records as well as filing of reports and documentation

• Prepares, collates and updates reports and management packs as required

• Proof reads and formats documents to ensure there are no spelling or grammatical errors

• Prepares invoices and submits expense claims in line with the defined process

• Arranges international client visits and prepares itinerary and agendas accordingly

• Books venues, invites meeting attendees, arranges catering and equipment for all meetings and functions

• Supports the end-to-end customer service process and bid management process

• Manages local and international travel arrangements including flights, accommodation and other transport arrangements

• Arranges and co-ordinates functions and events for both internal and external clients

• Liaises with the external Marketing and Events Company to ensure the professional roll out of all functions, catering and events where relevant

• Ensures strict confidentiality of all information at all times

• Works closely with facilities to assess needs and assists facilities with building tours, and establishing building needs where relevant

Requirements:

• Matric (Essential)

• Microsoft Word, PowerPoint, Excel Intermediate to Advanced (Essential)

• Diploma in Service, Administration, Tourism, Hospitality or any other relevant area (Advantageous)

• Minimum 2 years’ experience as an Executive PA (Essential)

• Experience in minute taking (Essential)

• Diary Management of more than one Executive (Highly Advantageous)

• High attention to detail

• Excellent Communication across organisational levels/hierarchies
