Office Support – 3 month contract with the possibility to go permanent

Our office manager is taking 3-4 months maternity leave. We are looking for a suitable candidate to organize and coordinate administration duties and office procedures. Your role would be to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. This opportunity has the potential to progress to a permanent role.
Office manager responsibilities include scheduling meetings and appointments, making office supplies arrangements, greeting visitors and providing general administrative support to our employees. Previous experience as a Front office manager or Office administrator would be an advantage. A successful Office manager should also have experience with a variety of office software (email tools, spreadsheets and databases) and be able to accurately handle administrative duties.
Ultimately, the Office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.
Responsibilities
Office Management:
• Schedule and Organize meetings and appointments
• Taking of Minutes when required/requested
• Write and distribute internal emails, correspondence memos, letter, faxes and forms
• Prepare and present scheduled reports
• Monthly Leave Report
• Order office supplies
• Maintain the office condition and arrange necessary repairs
• Partner with HR to update and maintain office policies as necessary
• Organize office operations and procedures
• Coordinate with IT department on all office equipment
Assisting Finance Team:
• Generating Invoices on Pastel
• Debt Collecting
• Provide general support to visitors
• Completing all required documentation for HR
• Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)
• Plan in-house or off-site activities
• Managing Company Employee Files
• Capturing and keeping track of Absenteeism, including updating of reports
• Keeping track of all staff Birthdays and Anniversaries
• Running errands outside of the office for general tasks, and event related
• Responsible for all vendor/supplier applications & paperwork/documents needed by procurement departments of suppliers
Start Date: January 2018
Working hours: 08:00 – 16:30
Remuneration: R8000 per month Basic salary
Location: Cape Town, Newlands
Duration: 3 month contract with the possibility that it may continue longer and there may be a further opportunity of full time employment

Requirements
· Grade 12 (Senior Certificate)
· Microsoft Office competent
· Knowledge of CRM database advantage
· Excellent communication skills (written and verbal)
· Own Transport and Driver’s license
· Highly self-organised with great problem solving skills
· High achiever, outgoing, pro-active and positive personality
