Purpose of the role

This position is required to maintain proper flow and recording of employee related personal and remuneration information.  This role is responsible for administering the payroll, and reconciling all payroll related payments, as well as providing support to HR and employees on payroll  & ESS queries.

Main Accountabilities:

Processing South African monthly & weekly payrolls on VIP providing an efficient and accurate payroll service. 

  • Responsible for handling the payroll for Weylandts Australia– dealing directly with the outsourced payroll company and ensuring bi monthly payroll runs smoothly and timeously.  Collating information

  • Entering new employee remuneration information on the payroll system; Terminate employees and process other related payments; Receive and/or collect monthly payroll input data; Verify that all payroll input data has been correctly authorized;

  • Verify correct transfer of timekeeping information from time-and-attendance system to payroll;

  • Process adjustments to earnings and deductions, and calculate salary payments including commission & overtime etc.

  • Process payments to other payroll creditors, including SARS, Old Mutual, Workmen’s compensation fund, garnishees etc.

  • Reconcile monthly and annual payroll accounts; Generate and record monthly and annual payroll reports;

  • Administer financial year-end payroll procedures; Adhere to payroll control procedures;

  • Attend to payroll related queries from employees or HR/Finance;

  • Ensure that system parameters and methods of calculation are correctly configured and maintained liaising with system provider as required; Attend to system related maintenance such as backups, updates and license renewals;

  • Assist with preparation and calculations for remuneration surveys, salary increases, and incentive payments, management reporting, financial audits & various ad hoc requests.

  • General maintenance and safekeeping of the payroll records and software programs used for payroll administration.

File all personal information, remuneration and benefit related documents on the employee files;   Maintain an orderly and effective filing system.

 Technical Skills required:

  • Minimum Grade 12

  • HR / Payroll qualification

5 years’ experience in administering a payroll for at least 400 employees on the VIP Premier payroll system

  • Working knowledge of the ESS (Employee Self Service) component is essential

  • Competent in MS Office (Advanced MS Excel)

  • Understanding of employee taxation regulations & financial reconciliation processes

Basic knowledge of Human Resources processes and principles

  • Experience with implementing a new payroll system & understanding of financial accounting systems

  • Maintain confidentiality and exercise extreme discretion
