Receptionist (including Administation) Position

You
will be responsible for a busy Front Office (reception and switchboard), as well as being part of a team that is responsible
for data capturing of invoices, orders and client information. We are looking for a young, confident, presentable and well-spoken
individual to fill this permanent position.

To perform all reception functions/duties.

  1. Received, settle and refer visitors in a professional and timeous manner;

  2. Received
    and refer all incoming calls in a professional timeous manner;

  3. Addressed
    any questions raised by caller in a professional manner;

  4. Captured
    and forward message details accurately;

  5. Sourced
    contact details of 3rd parties as requested;

  6. Reported
    all technical faults with the switchboard and telephones lines to Financial
    Manager timeously;

  7. Verify, load
    and activating client and policy information in management system;

  8. Attach client
    and policy documents to management system;

  9. Placed
    various orders as and when required and
    continually seek competitive pricing and research alternatives

  10. Maintained
    filing system for Directors, Finance & Office/Reception accurate and
    current;

  11. Completed
    monthly reconciliation of suppliers and reception and ensure
    all Monthly Statements are reconciled and given to Financial Manager;

  12. Extracting
    and saving certain documents weekly / monthly

  13. Managing
    of the Admin inbox daily.

  14. TCF – ensure all customers are assisted with ‘Treating
    the Customer Fairly’ in mind.

  15. Performed
    any ad hoc administrative tasks as and when required.

Report
to:
Underwriting Manager of the group

Working hours, leave, benefits and
contract:

  1. 8:30 to
    5 with 30 mins lunch.

  2. 15
    Annual Days leave per year

  3. Retirement
    Annuity and Medical Aid schemes for permanent employees

  4. Initially
    a 3 month contract will be offered and if certain criteria and performance
    standards are met a permanent contract will be offered.

Salary: R5,500
– R8,500 (Cost to Company: negotiable – based on experience and qualifications).

Knowledge and Requirements:

  1. The
    ideal candidate will have reception experience and speak English fluently.

  2. You have good planning and organizing skills;

  3. Minimum
    qualification: Matric

  4. Candidates
    that are shortlisted would need to consent to, and pass, an EMPS Form and Check
    (check of personal information such as Tertiary Education, Drivers Licence,
    Criminal, Credit Bureau, Employment History and Workers Permit status).
